Solas Healthcare Ltd (“Solas Healthcare”, “we”, “us”, “our”) is a company registered in England and Wales under company number 08788533, with its registered office at 71-75 Shelton Street, Covent Garden, London, WC2H 9JQ. We provide Responsible Officer, Designated Body and medical appraisal services to independent healthcare organisations and doctors.

For the purposes of UK data protection law, Solas Healthcare Ltd is the data controller for the personal data described in this policy. This means we are responsible for deciding how and why your personal data is used.

Under UK GDPR we must have a lawful basis for using your personal data. We use your data for the following purposes:

  • To respond to your enquiry and provide you with information you have requested. Lawful basis: our legitimate interests in responding to enquiries about our services, and, where relevant, taking steps at your request before entering into a contract.
  • To provide our services and manage our relationship with you as a client. Lawful basis: performance of a contract, and our legitimate interests in managing and administering our services.
  • To comply with our legal and regulatory obligations, including those connected to the Responsible Officer role. Lawful basis: compliance with a legal obligation, and our legitimate interests in meeting regulatory requirements.
  • To operate, maintain and improve our website and keep it secure. Lawful basis: our legitimate interests in running a safe and effective website.

Where we rely on legitimate interests, we have considered whether those interests are overridden by your rights, and we have concluded they are not. You can ask us for more information about this at any time.

5. Who we share your personal data with

We do not sell your personal data. We only share it where necessary, with:

  • Service providers who help us operate our business and website, such as our website host, email provider and form and enquiry tools. These providers act on our instructions and are bound to keep your data secure and confidential.

  • Enquiries that do not become clients: we retain correspondence relating to enquiries that do not result in a client relationship for up to 12 months. This enables us to respond to enquiries, follow up where appropriate, and maintain a record of our communications.
  • Client records: we keep these for the duration of our engagement and for a period of 6 years afterwards to meet our legal, regulatory and professional obligations.
